At Knights Estate Agents we realise that renting a property can sometimes be a daunting prospect, especially if you have never rented before.  With this in mind we think it’s crucial to be transparent in the process.

The below is our ‘Guide for Tenants’ which takes you through the procedure of renting and even gives you the associated costs you need to be aware of. This guide is for tenants and landlords in the private rented sector to help them understand their rights and responsibilities. It provides a checklist and more detailed information on each stage of the process, including:

We will ask for a holding deposit to secure the property, subject to contract and references. Should you decide not to proceed with the let or application forms are returned later than 2 days then Knights reserve the right to retain the holding deposit to cover their losses. If a prospective tenant or guarantor has given misleading information that cannot be construed as a mistake on an application the application will be refused and we reserve the right to retain the Holding Deposit.

There will be a charge of £90.00 (inc VAT) per person for referencing and a credit check, plus a further one off fee of £270.00 (inc VAT) for the associated administration. If supplemental tenancy agreements are required to be re-issued during the tenancy, there will be a charge of £90.00 (inc VAT) per renewal.  If a guarantor is required there will be a further £90.00 (inc VAT) charged. These charges are non-refundable.


RIGHT TO RENT: A full reference form must be completed by every adult moving in (aged 18 or over), which requires details of current and previous addresses, any relevant landlords, employment details covering the last three years (or details of accountant if self employed), details of a character referee and your bank details. A passport or valid visa MUST also be provided to the reference company to satisfy the ‘Right to Rent’ checks.


Once we are in receipt of satisfactory references we will then confirm a date for occupancy (should your referees not respond in time we will not be held liable for any costs). You should not make any arrangements to move in unless this date has been confirmed to you by Knights.
Once references are successfully concluded all persons wishing to occupy the property must come to the office and sign the tenancy agreement including the Guarantor where applicable, complete standing order mandates and provide identification. (Please note: Standing orders will be set up to leave your account at least three days prior to the rent date, we are unable to release signed contracts prior to your move-in date).


We will require the remaining balance to be paid once referencing is successfully concluded. This must be transferred to us in cleared funds. Please note, we cannot accept cash or cheques for this payment.


Once all parties have signed the agreement including the guarantor where applicable and paid the balance of funds we will then release keys. If a change of ‘Rent Day’ is requested a fee of £50+vat will be charged.


DATA PROTECTION: We respect all of our tenants’ personal data and any information provided will be held in accordance with our Privacy Policy (available on our website: knightsproperty.co.uk/privacy). By signing this agreement you indicate your consent for us to release relevant personal details to external parties to facilitate the setting up of the tenancy, such as references, inventory services, the setting up of utilities, television services, contractors for repairs and insurance products. However ultimate responsibility for updating the relevant utility companies remains with the tenant.


At the end of your tenancy once you have returned your keys we will check the original inventory at a cost of £100.00+VAT – £150+VAT (£120 Including VAT – £180 Including VAT paid in advance), dependant on property size, and providing there are no dilapidations or damage to the property, your deposit will be refunded once we have seen proof that utilities have been transferred into the tenant’s names and we have had the Landlord’s consent.
